Privacy Policy.
What data FuelRaptor collects, why, who processes it, and how to reach us about it.
1Who we are
FuelRaptor is a fuel expense tracking service for commercial fleet operators in India. It is run by:
In this policy, "we", "us" and "our" mean FuelRaptor Technologies Private Limited. A "fleet owner" is the business that signs up for FuelRaptor. A "driver" is a person the fleet owner enrols to send fuel receipts.
2Data we collect
- Fleet owner email address, used to log in to the owner dashboard.
- Driver phone numbers, provided by the fleet owner when enrolling a driver, and used to recognise receipts sent on WhatsApp.
- Fuel receipt photos sent by drivers, and the receipt data we extract from them: amount, litres, rate, fuel station, date and time, invoice number, and meter (totalizer) readings where the slip prints them.
- WhatsApp message metadata: message IDs, timestamps, sender phone number, and the driver's replies to our confirmation messages.
If you message our business WhatsApp number or email us before signing up, we keep your phone number or email address and what you send us, so we can reply.
We do not collect location data, contacts, or anything from a driver's phone other than the messages they send to our number.
3Why we use it
We use this data for one purpose: fuel expense tracking and anomaly flagging for the fleet owner who enrolled the driver. In practice, that means:
- Reading each receipt and sending the driver a confirmation message.
- Checking receipts for anomalies, such as the same slip being sent twice, and flagging them for the fleet owner to review.
- Showing the fleet owner their receipts, photos, flags and monthly spend per truck on the dashboard.
- Keeping the service running, secure and free of errors.
A flag means a receipt needs a human to look at it. It is not a finding that anyone did anything wrong. Drivers are not shown flags.
Only the fleet owner who enrolled a driver can see that driver's receipts. One fleet owner can never see another fleet owner's data.
4Service providers who process data
We use the following providers to run FuelRaptor. They process data only on our instructions and only to provide their service to us.
5Data processed outside India
Some of these providers store or process data outside India, including in Japan (Supabase, Tokyo region) and the United States. We transfer data abroad only to these providers and only to run the service.
6No sale, no advertising
We do not sell personal data. We do not share it with anyone for advertising or marketing. We do not use it to build profiles for any purpose other than the service described above.
We will disclose data if Indian law requires us to, for example in response to a valid order from a court or government authority.
7How we protect it
Data is encrypted in transit and at rest by our hosting and database providers. Receipt photos are kept in private storage and are shown only to the fleet owner's account, through short-lived links. Access to each fleet owner's data is restricted at the database level.
No system is perfectly secure. If we become aware of a personal data breach, we will notify affected people and the authorities as Indian law requires.
8How long we keep it
We keep data while the fleet owner's account is active, including when billing is paused after the free month.
When a fleet owner or a driver asks us to delete their data, we delete it within 30 days of the request. Copies in backups and service-provider logs, such as error logs, expire on those systems' own schedules after that.
9Your rights
Under India's Digital Personal Data Protection Act, 2023, you can ask us to:
- Give you a summary of the personal data we hold about you and how we use it.
- Correct, complete or update your personal data.
- Delete your personal data.
- Nominate another person to exercise these rights for you if you are unable to.
Fleet owners and drivers can both make these requests. Drivers can contact our Grievance Officer directly; you do not need to go through the fleet owner. We may ask you to confirm your identity, for example by messaging us from the phone number we hold, and we may let the fleet owner know when a driver's records are deleted.
To make a request, email hello@fuelraptor.com.
10Grievance Officer
If you have a question or complaint about how we handle personal data, contact our Grievance Officer under the Digital Personal Data Protection Act, 2023:
If you are not satisfied with our response, you may complain to the Data Protection Board of India.
12Changes to this policy
We may update this policy as the service changes. The date at the top of this page shows when it was last updated. If a change materially affects how we use your data, we will tell fleet owners by email or WhatsApp before it takes effect.
